What we do

From a single broken workflow to a full operations infrastructure rebuild.

We design and build the Smartsheet infrastructure your operations team actually runs on. That means structured sheets, automated intake forms, and a data architecture that stays clean as your team scales. You stop patching broken spreadsheets and start working with a system built for how your organization actually operates.

Client outcome

One team replaced five disconnected tracking sheets with a single source of truth, giving leadership accurate project status without manual compilation.

How we work

Every engagement follows the same four-step process.

Whether we are automating a single workflow or rebuilding your entire operations infrastructure.

Discovery Call

We spend thirty minutes learning your situation: what you are tracking, where the friction is, and what a successful outcome looks like. No intake form, no long questionnaire before we talk. You leave the call with a clear picture of whether we are the right fit.

Assessment and Scope

We review your current Smartsheet setup, data structure, and team workflows. From that, we produce a clear scope document: what we will build, in what order, and what the end state looks like. The scope defines “done” before any build work begins.

Build and Implement

We build against the agreed scope on a monthly retainer. You see progress in working increments, not at the end. Minimum three-month engagement; most clients stay on retainer as the system grows with their organization.

Ongoing Optimization

After the initial build, we stay engaged to tune, expand, and adapt. Operations change. Systems need to keep up. Monthly retainer access means we are available when the next workflow needs to be automated or the next integration needs to be added.

About Bowen

11 years building enterprise operations at Schneider Electric.

Bowen Liu built his Smartsheet practice at Schneider Electric, one of the world's largest industrial automation companies, where he spent 11 years as a Lead Project Manager, Product Owner, and Technical Consultant. During that time he led programs for clients including Microsoft and Google, and learned exactly what breaks when complex organizations try to manage operations in spreadsheets.

He founded Wizard of Sheets in January 2023 to bring that enterprise-grade methodology to growth-stage companies. More than 50 Smartsheet implementations later, the practice is built on the same frameworks he developed at scale.

FAQ

Common questions.

What does Wizard of Sheets actually build?
We design and implement Smartsheet systems: data architecture, automated workflows, approval routing, integrations with external tools, and executive dashboards. The scope varies by engagement. For some clients, that means rebuilding a broken PMO setup from the ground up. For others, it means automating the three most painful manual processes in a specific department. We scope every engagement in writing before any build work begins, so you know exactly what you are getting.
How long does a typical engagement take?
We do not quote timelines because the right answer depends entirely on scope. A single automated workflow is a different conversation than a full PMO rebuild. What we can tell you is that every engagement has a defined scope document before we start, and most clients are on a minimum three-month retainer, which gives us enough runway to build, test, and refine. Complex, multi-department builds run longer by agreement. We define "done" before we start, not after.
Do we need to already be using Smartsheet?
No. Some clients come to us after years of Smartsheet use; others are starting fresh. If your organization is evaluating Smartsheet as part of the engagement, we can support that process. What matters is that there is a workflow or operations problem worth solving. The tooling is secondary. If Smartsheet is not the right fit for your situation, we will tell you that in the discovery call.
What happens on the first call?
Thirty minutes. We ask about your current setup, the specific workflows causing friction, and what "fixed" looks like from your perspective. You ask us anything you want about how we work, what we have built, and what our scope process looks like. By the end of the call, you will know whether there is a fit. No hard close. No pitch deck. Just a direct conversation about your situation.
Can Wizard of Sheets work with our existing tools and data?
Yes. Integration is one of our core capabilities. We connect Smartsheet to ERP systems, HRIS platforms, procurement tools, NetSuite, Salesforce, and most API-accessible systems your organization uses. We have also migrated data from Excel workbooks, SharePoint lists, and Access databases into structured Smartsheet environments. If you are not sure whether your existing stack is compatible, bring it up on the discovery call.
